About Secure Messaging

What is secure messaging?
Secure messaging is a feature Mimecast offers to keep sensitive data secure by creating emails that delete after set times and  that are received in a Mimecast secure mailbox.

 

Why would you want the email to delete itself?
One of the main ways email is compromised is when someone gets access just briefly, they download all emails. They can then scan for sensitive information that dates back years.

 

 What will this look like to me?
If you receive a secure email from Mimecast it will still be in your normal inbox, but will have a single line letting you know it is secure, much like our notice of an external email.

 

When should I use secure messaging?
Anytime you are sending sensitive data, this includes financial, personal information, or legal documents. You can feel free to use this for anything that could potentially be compromising.

 

What if I forget to send something securely?
We have a couple of content definitions set up that will look for patterns that appear to be sensitive information and automatically convert these to secure messages. But try to remember to send securely whenever you can.

How to Send a Secure Message

First, make sure you notify the person you are sending to that they will receive something from “OHS Admin” that will ask them to access Mimecast. It looks like this:

 

To send securely do the following:

  1. Make sure you are logged into Mimecast in Outlook.
  2. Open a new email in Outlook.
  3. Go to Mimecast tab.
  4. Click on Send Securely and choose an option from the drop down menu
    1. ​​​​​​​.
  5. Current options will be 5 days with printing, 5 days without printing, and 14 days without printing.
    These are the days until the email expires and wether the person receiving them can print the documents or not.
  6. Write your email, attach any needed documents, and send your email as normal.
